Check-in services

A check-in iPad checks children in to today's services only, and every name tag prints the service's date and time. This page sets those services. Right now the church has one: Sunday 10:00 AM, with check-in open from 9:15 AM.

When to use this

  • The Sunday service time changes.
  • A new weekly gathering with children's rooms starts, or one stops.
  • A one-off service needs check-in, such as Christmas Eve or a Good Friday evening.
  • Only some rooms are open for a service, such as a night with the nursery only.
  • An event offers childcare, such as a dinner with one combined room for ages 0 to 5.

Add or change a service

  1. Open Kids check-in, then Services.
  2. To change a service, select Edit beside it. To add one, use Add a weekly service.
  3. Type a Name families and volunteers will recognise, such as Sunday 10:00 AM.
  4. Choose the Day and the time it Starts at.
  5. Set how many minutes before the start Check-in opens, and how long it Stays open after the start.
  6. Choose which Rooms open (see below).
  7. Select Add service or Save service.

Saving a change moves that service's coming dates with it: the iPads pick up the new time at their next sync. A date someone has already checked in to keeps its time, so today's labels and attendance never change under you. To stop a service, select Archive; its coming dates are cancelled, and Restore brings it back.

When check-in opens

Each service becomes the current one at the iPads a set number of minutes before it starts. With 45 minutes before a 10:00 AM service, check-in opens at 9:15 AM. If there are two services on one day, each takes over at its own opening time, and staff at the desk can still choose a service by hand under Check-ins go to.

Stays open is how long after the start the service stays current, for late arrivals and pickup. The default of 150 minutes is two and a half hours.

Which rooms are open

All rooms suits most services. Choose Only these rooms when just some classes meet. Check-in then places each child in one of the open rooms, with the same rules as on Sunday. A child no open room fits is shown as Needs a room at the staff desk, and the family screen asks them to see the welcome desk.

Childcare for an event

When an event offers childcare, such as a fellowship dinner on Fri 13 Nov 2026 or a parenting class night, add it here so families can check their children in with the iPads, just like on a Sunday.

  1. Under Add an event with childcare, type the Event name, such as Fall fellowship dinner.
  2. Choose the Date, when it Starts at and Ends at, and how many minutes before the start Check-in opens.
  3. Choose who the childcare is for:
    • One combined room for this event is the usual choice. Give it a name, such as Childcare – Fellowship Hall, and the Youngest age and Oldest age it takes, such as 0 years 0 months to 5 years 11 months for ages 0 to 5. Grades are optional.
    • Tick any of the church's rooms that are staffed for the event too. They keep their usual ages and grades.
  4. Check Who the childcare takes: it says, for example, "Childcare for this event is for ages 0–5", and warns you if two rooms take the same children.
  5. Select Add event.

The combined room exists only for that event. It never changes the church's Sunday rooms, and it never appears on a Sunday.

At the iPads. The event appears up to two weeks ahead and becomes the current one when its check-in opens. Staff at the desk can still choose it by hand under Check-ins go to. Children who fit are placed automatically. A child outside the ages sees "Childcare for this event is for ages 0–5. Please see the welcome desk." (in Spanish for a family that chose Español). Staff at the desk can still place that child in a room with Change room.

Labels, receipts and pickup work exactly as on Sunday. Every child gets a name tag, the guardian gets a matching receipt, and children go home only against that receipt.

Afterwards. The event shows in attendance under its own name, separately from Sunday. To call it off, select Cancel event; Restore brings it back.

One-off dates

  1. Under Add a one-off date, type a name such as Christmas Eve.
  2. Choose the Date, the start time, when check-in opens and the open rooms.
  3. Select Add date.

It appears on the iPads up to two weeks ahead. To call it off, select Cancel date; Restore brings it back.

Good to know

  • Only admins add or change services and dates. Staff can look.
  • If no service is scheduled for today, the iPads keep check-in closed rather than print a wrong date.
  • The iPads keep working offline with the services they last loaded, so make changes before Saturday evening.
  • In the practice sandbox, the service list starts with the church's one service, Sunday 10:00 AM, and a sample event with childcare.

Top tips

  • Name services by day and time, such as Sunday 10:00 AM: the desk shows the name, so nobody has to guess.
  • Make time changes during the week, then check one iPad shows the new time before Sunday.
  • Add Christmas Eve and Easter dates a few weeks ahead, so they're on every iPad in good time.
