Fund mapping

Each giving fund (General Fund, Building Fund and so on) needs a home in QuickBooks. Fund mapping is where that's set: one Class and one income account for each fund.

When to use this

  • Once, when the sync is first connected to the church's QuickBooks company.
  • When the bookkeeper renames a Class or an account, or adds a new fund.

Class and income account

  • QuickBooks Class: QuickBooks' way of tracking money by fund. Every gift line is tagged with its fund's Class, so a fund's giving can be reported on its own. Type the Class name exactly as it appears in QuickBooks.
  • Account no.: the number of the income account in the church's chart of accounts, such as a contributions account in the 4000s.
  • Income account name: that account's name, exactly as it appears in QuickBooks.

Fees, the bank account and Stripe Clearing are set once for all funds and don't change here.

The sync never creates Classes or accounts. It uses what already exists, so a typo here would stop the sync in the live system rather than invent a new account.

Change a mapping

  1. Find the fund's card. It shows Default or Custom mapping.
  2. Change the Class, account number or account name.
  3. Under How mapping works, put your name or role in Your name or role. It's saved with the change.
  4. Select Save mapping. The next sync's journal preview uses it straight away.

If something is missing or the account number isn't a contributions account, the card lists what to fix, and the sync stays blocked until it is.

Go back to the default

Select Use default on a fund's card to undo a custom mapping.

Good to know

  • The fund list itself comes from the church's settings, not from here.
  • Restricted funds (such as a building fund) should map to their own Class, so their balance can always be shown separately.
  • The account numbers in the sandbox are examples. The real chart of accounts comes from QuickBooks at launch.

Top tips

  • Copy Class and account names from QuickBooks rather than typing them; a stray space is enough to block a run.
  • Change mappings at the start of a month, never in the middle, so one month's report doesn't use two sets of accounts.
  • After any change, open the QuickBooks sync preview and check one entry's lines before you post.

Troubleshooting

"The sync is blocked." A saved mapping is incomplete or invalid. The card with the problem lists what's wrong.
